Privacy Policy

The Effortless Home, LLC ("The Effortless Home," "we," "us," or "our") provides a premium home concierge service and a private online hub (the "Service"). We care deeply about the trust you place in us when you invite us into your home and share details about your household. This Privacy Policy explains what information we collect, how and why we use it, who we share it with, how long we keep it, how we protect it, and the choices and rights you have.

This policy applies to clients, prospective clients, household members, team members (specialists, operations, and administrators), and visitors to our website and hub. By using the Service you agree to the practices described here. If you do not agree, please do not use the Service.

  • We collect only what we need to schedule, deliver, and document your home services.
  • We never sell your personal information and we don't share it with advertisers.
  • Sensitive details — like home access codes — are restricted to the people who need them to serve you.
  • You can access, correct, export, or delete your information at any time by emailing us.

1. Who we are

The Effortless Home, LLC operates a concierge cleaning and household management service. We offer Signature (recurring, relationship-based) and Effortless Flex (on-demand, hours-based) services. For any privacy question or request, contact our privacy team at admin@theeffortlesshome.net. We are the "data controller" responsible for the personal information described in this policy.

2. Information we collect

2.1 Information you provide directly

  • Account & profile: name, email address, phone number, password, and your role (client, employee, operations, or admin).
  • Household profile: service address, the people and pets in your home, supply and product preferences, priority tasks, and household notes.
  • Home access & security details: entry method, lockbox or alarm codes, key locations, gate codes, and whether someone will be home. We treat this as sensitive information (see Section 8).
  • Bookings & visits: appointment dates and times, service scope, specialist preferences, visit summaries, checklists, and any photos uploaded to document a visit.
  • Messages, feedback & requests: conversations with your concierge team, task notes, service requests, and feedback you submit.
  • Payment details: billing name, billing address, and card information. Card numbers are entered directly with our payment processor (Stripe) — see Section 5. We receive only confirmation and limited details such as the last four digits and card brand.
  • Team member data: for specialists and staff, this includes availability and scheduling, time-off requests, visit clock-in/clock-out records, and payroll-related identifiers.

2.2 Information collected automatically

  • Device and browser type, IP address, log timestamps, pages viewed, and actions taken in the hub.
  • Cookies and similar technologies (see our Cookie Policy).
  • Location data: when a team member clocks in or out of a visit, the app may record the approximate GPS location and time to verify that service was delivered. This is used for service verification, payroll, and quality assurance only. Clients' devices are not tracked.

2.3 Information from third parties

  • Authentication providers (e.g. Google) if you choose to sign in with them.
  • Calendar providers (e.g. Google Calendar) when you connect your account for schedule synchronization.
  • Our payment processor, which confirms the status of charges, refunds, and purchased hours.
  • Referrals or information provided by a household member or account owner who adds you to a household.

3. How we use information

  • Schedule, deliver, document, and improve concierge visits and Effortless Flex bookings.
  • Operate the hub, match and assign specialists, and manage broadcasts, invitations, and reassignments.
  • Process payments, hour packages, refunds, and invoices, and reconcile transactions.
  • Send service communications by email, SMS/text, and in-app notification — including booking confirmations, reminders, reassignments, messages, task updates, and time-off decisions.
  • Verify that visits occurred and calculate team member hours and pay.
  • Provide customer support and respond to your inquiries.
  • Maintain the security of accounts, detect and prevent fraud or abuse, and enforce our terms.
  • Comply with tax, accounting, safety, and other legal obligations.

Marketing: we may send you news and offers about our services. You can opt out of marketing messages at any time using the unsubscribe link or by contacting us. Service and transactional messages (such as booking confirmations) are necessary to provide the Service and cannot be opted out of while your account is active.

SMS/text messaging: if you provide a mobile number and consent, we may text you appointment reminders and service updates. Message and data rates may apply. Reply STOP to opt out of texts or HELP for help. Opting out of texts does not opt you out of email or in-app notifications.

4. How we share information

We share personal information only as described below. We do not sell your personal information, and we do not share it with advertisers or data brokers.

  • With your service team: the specialists and operations staff assigned to your household receive the information they need to deliver your service, including access details for the visit. Access codes and sensitive notes are limited to assigned personnel.
  • With service providers (processors): vetted vendors who process data on our behalf and under contract (see Section 5).
  • For legal reasons: to comply with law, respond to lawful requests and legal process, protect the rights, safety, and property of our clients, team, or the public, and enforce our agreements.
  • In a business transfer: if we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this policy.
  • With your direction or consent: for example, when you connect a third-party calendar.

5. Service providers we use

We share data only with vetted processors acting on our instructions and under contractual confidentiality and security obligations:

  • Cloud hosting & database: Supabase (database, authentication, file storage, real-time services) and Cloudflare (edge hosting and security).
  • Payments: Stripe processes card details directly; we never receive your full card number.
  • Email delivery: Resend for transactional and authentication emails.
  • SMS delivery: Twilio for text-message reminders and updates (when enabled).
  • Calendar sync: Google Calendar (only if you connect it).
  • Maps & service area: third-party mapping providers for address validation and service-area lookups.
  • AI assistance: an AI gateway used for internal administrative tooling. Your personal data is not used to train external AI models.

6. Legal bases for processing (EEA/UK users)

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases:

  • Performance of a contract: to provide the Service you've requested.
  • Legitimate interests: to secure, operate, and improve the Service and prevent fraud, balanced against your rights.
  • Consent: for optional cookies, marketing communications, SMS messaging, and location features where required.
  • Legal obligation: for tax, accounting, employment, and safety records.

7. Data retention

We keep account, booking, visit, and billing records for as long as you maintain an account and for a reasonable period afterward to comply with tax, legal, employment, and dispute-resolution obligations (generally up to seven years for financial records). Messages, visit notes, and household details are retained for the life of your account unless you ask us to delete them sooner. Home access codes should be updated by you when they change; we remove or anonymize stored access details when your account closes. Backups are encrypted and purged on a rolling basis.

8. Sensitive information & home security

Because we serve your home, some of the information you share is especially sensitive — particularly entry methods, alarm and lockbox codes, and key locations. We restrict this information to the operations staff and assigned specialists who need it to serve you, protect it with the security measures in Section 9, and recommend you rotate codes periodically and after any change in your service team. You may ask us to update or remove access details at any time.

9. Security

We use technical and organizational measures designed to protect your information, including: encryption in transit (TLS) and at rest; row-level security policies that scope each user to their own records; role-based access controls separating client, specialist, operations, and admin permissions; audit logging of administrative and role-based access; and continuous monitoring of background jobs and system health. No system is perfectly secure, so we cannot guarantee absolute security. Please use a strong, unique password, keep your login confidential, and notify us immediately at admin@theeffortlesshome.net if you suspect unauthorized access. If a breach affects your personal information, we will notify you and the relevant authorities as required by law.

10. Your privacy rights

Depending on where you live, you may have the right to access, correct, export (portability), delete, or restrict the use of your personal information, to object to certain processing, and to withdraw consent at any time. To exercise any of these rights, email admin@theeffortlesshome.net. We will verify your identity and respond within the time required by law. You will not be discriminated against for exercising your rights. If you believe we have not resolved your concern, you may have the right to lodge a complaint with your local data protection authority.

10.1 California residents (CCPA/CPRA)

We collect the categories of personal information described in Section 2 (identifiers, contact and account data, commercial/transaction data, internet activity, geolocation, and household information). We do not sell or "share" personal information for cross-context behavioral advertising. California residents may request to know, access, correct, and delete their personal information, and may designate an authorized agent to act on their behalf.

11. Children's privacy

The Service is intended for adults and is not directed to children under 16. We do not knowingly collect personal information directly from children. Household profiles may reference family members, including children, only as provided by the account owner to deliver the Service. If you believe a child has provided us information directly, contact us and we will delete it.

12. International data transfers

We and our processors are based in or store data in the United States and may process data in other countries. Where required, international transfers are protected by appropriate safeguards such as standard contractual clauses or equivalent mechanisms.

13. Third-party links

The Service may contain links to third-party websites or services (for example, a payment page or calendar provider). Their privacy practices are governed by their own policies, and we are not responsible for them.

14. Changes to this policy

We may update this policy from time to time. We will post material changes in the hub and update the effective date above, and where appropriate we will provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
